Flower Club Wedding Flowers

1. Quote Validity & Booking

All quotes are valid for 7 days from the date issued or until the due date specified on your quote.

Quotes operate on a first-come, first-served basis. Your booking is only confirmed once a deposit has been paid. We do not accept date holds or pre-bookings without a paid deposit.

The indicated deposit on your quote acceptance link is non-refundable under any circumstances.

This covers the costs involved to pay our consultants to arrange meetings with you, meeting you either online or in-person, quote creation, quote updates, possible mood board creation, email follow ups, etc. When accepting our T&Cs, you accept that if you cancel your booking, this deposit cannot be refunded even with months of notice.

If another client confirms and pays their deposit for the same date before you, your date will no longer be available, even if your quote didn't reach its due date.

In the rare case of a system or typographical error in price, please notify us promptly. We will amend and reissue the quote.

2. Payment Terms

Please access all invoices, payment history, and balances via your client portal. Contact us if you need it re-sent.

Payments must be made by the due dates listed on the invoice with 2-3 days buffer time. Reminders/Overdue emails are automated, but we encourage you to track due dates independently.

Payment methods and account details are outlined on your invoice.

Instalment plans cannot be altered once set to ensure payment tracking.

Late or missed payments may result in booking cancellation without refund. If you need an extension due to personal reasons, please let us know before your due date so we can adjust that for you.

Invoices are GST inclusive while quotes are GST-exclusive. All payments made include GST (10%).

Please include your name, INV number, and wedding date when making payment.

3. Client Portal & Communication

Ensure to track your invoices, payments, remaining balance and updates via the client portal as we generally don't resend invoices unless requested.

Non-urgent communication more than a month ahead (e.g., changes to colour palette) should be made via email. However, urgent matters (e.g. last-minute location changes) should be made by phone, especially on the event day.

Please ensure the date of your wedding indicated at the top of your invoice and/or quote is correct. If the wedding date entered is incorrect, we might not be able to proceed with your inquiry if we are booked for that date.

4. Consultation and Quote Revisions

We strongly recommend attending a consultation as it allows both couples and us to explore your vision, priorities, and options together.

Consultation Allowances:

  • For budgets under $5,000: Two consultations included. Additional consultations incur a $75 fee.
  • For budgets above $10,000: Unlimited consultations at no additional cost.

Changes to quotes/invoices can be made up to one (1) month before your wedding.

Once your quote or invoice is accepted, removal of items cannot exceed:

  • $300 for invoices under $3,000
  • $500 for invoices between $3,000 to $5,000
  • For invoices over $5,000, removal may be made up to 1/10 of the total amount

Substitutions or replacements are permitted, as long as the total reduction in value follows the same limits above.

All final decisions must be confirmed at least one month prior to your wedding day.

5. Cancellations, Refunds & Exceptional Circumstances

Reschedules due to bereavement or childbirth are honoured at original prices, except for peak dates (Valentine's Day/Mother's Day weeks, Christmas/New Year's, public holidays).

Standard Cancellation Policy:

  • Less than 2 months before: No refund. Missed payments must still be paid.
  • 3-4 months before: 33.34% refund of total invoice amount if over 66.66% paid.
  • 6-9 months before: 75% refund of total invoice amount.
  • More than 9 months: 10% non-refundable cancellation fee applies.
  • The deposit is non-refundable under any circumstances.

If you choose to cancel to proceed with another florist, no refund will be provided.

All invoices issued up to the date of cancellation must be paid to calculate any eligible refund amount.

Childbirth, Relationship Breakdown, or Bereavement:

Under these circumstances, we may offer:

  1. Transfer booking to another couple: Full refund of payments excluding deposit.
  2. Change your wedding date: Same pricing honoured, subject to availability.

The deposit remains non-refundable. Refund requests may take 10-20 business days to finalize.

6. Customer Behaviour

Only verified customers who booked us and received their wedding floral arrangements are permitted to leave reviews.

Submitting false or misleading statements with intent to harm our reputation is strictly prohibited. We reserve the right to take legal action.

Abusive, aggressive, discriminatory, or threatening behaviour towards any member of our team will not be tolerated and may result in appropriate action being taken.

7. Flower Availability & Quality

Flowers are natural, seasonal products, and their availability can vary. If a specific flower becomes unavailable, we will provide a high-quality substitution of similar value and style or upsize the arrangements.

We will advise you in advance if any selected flowers have low availability. On rare occasions, last-minute circumstances (supplier delays, weather, freight issues) may affect availability.

We work exclusively with ethical and sustainable flower farms and reputable suppliers. We do not offer low-grade flowers.

Refunds cannot be provided for unavailable flowers where the unavailability results from factors beyond our control.

8. Delivery & Setup

Delivery & setup are only included if specifically stated in your quote/invoice.

Standard delivery includes delivery to a single location unless otherwise specified.

Additional deliveries (e.g., hotel, home) must be communicated during consultations or via email.

Extra deliveries must be arranged at least 30 days in advance. If less than 30 days, they may be declined or incur extra fees (up to 3x standard price).

Pick-up option is possible at our studio the morning of or day before. A signed form/agreement must be completed.

Delivery hours to houses/hotels for personal flowers: 10:00 am - 4:30 pm.

Changes to delivery time/address might not be possible within 30 days of the event.

9. Delivery Conditions

Once delivery is completed, responsibility for flower care is transferred to you.

If no one is available at delivery time, we will call your emergency contact. If no answer after 15 minutes, we may:

  • Leave flowers in a safe place (upon agreement)
  • Return them to our studio for pickup
  • Deliver them to the venue

Delays under 60 minutes due to traffic or unforeseen road events are not refundable. We recommend a 30-60 minute buffer.

Bouquets Delivered Without Vases:

Bouquets are transported in specialised delivery boxes and cannot be delivered in vases. Upon arrival, the client is responsible for placing all bouquets into water.

Setup Conditions & Weather Disclaimer:

Flowers are highly sensitive to heat, cold, wind, and rain. Our team takes every reasonable step to maintain their condition during setup.

However, we are not responsible for wilting, damage, or deterioration caused by:

  • Environmental factors (sudden heat, wind, rain, direct sunlight)
  • Venue staff, family members, vendors, or guests

No refunds or partial refunds are permitted under these circumstances.

10. Pickup Terms

By choosing pickup, you accept full responsibility for the condition and handling of the flowers once picked up.

Damages due to transport, mishandling, or weather are not refundable.

A pickup form must be signed. Video calls to confirm everything before signing are acceptable.

No refunds, complaints, or replacements are accepted once pickup is completed with signed form.

11. Flower Care & Hot Weather Policy

Upon delivery or pickup, flowers must be kept in cool conditions and clean water. Avoid prolonged exposure to heat or direct sun.

On hot days, use air-conditioned transport and store bouquets in refrigerators (not freezers) at optimal temperature (generally 3-4 degrees, around 10 degrees for tropical flowers).

Do not use unfamiliar fridges as condensation may damage blooms.

Do not spray blooms directly unless hydrangeas; mist only stems.

Vases are not provided unless hired/purchased from us.

12. Hired Items & Security Bond

A security bond is required to safeguard florals, candles, plinths, and other hired items.

Photos will be taken at setup and pack-down to document item condition.

Guests are not permitted to touch, move, or dismantle flowers, items, or installations.

The hirer is liable for damage, loss, or theft during the hire period.

Bond Details:

  • Bond payments range from $300 to several thousand dollars
  • Bonds are invoiced 5-10 days before your event
  • Must be paid at least 48 hours before the wedding
  • Refunds processed within 2-7 business days after items returned in original condition

What is Authorized (by venue staff/coordinator):

  • Moving arrangements from ceremony to reception as they are
  • Moving plinths/arbor/stands
  • Cutting zip ties to fix arrangements (if applicable)

What is NOT Authorized:

  • Removing items fixed with special glue or tape
  • Removing zip ties on flower towers
  • Disassembling fixed structures

Bond Deductions Apply For:

  • Stains from food, alcohol, etc.
  • Food residuals requiring disinfection
  • Water damage leading to mold growth
  • Visible scratches or breaks
  • Missing items or pieces
  • Cigarette or candle burns
  • Items requiring excessive cleaning

No Charges For:

  • A few loose flower stems that naturally fell
  • Candle wax on glass
  • Micro scratches
13. Pack Down & Returns

Hired items must be returned within 3 days in the same condition as received. Extensions may be possible with notice.

Guests should not take hired items home unless they are responsible for returning them.

Pack down service is optional and must be clearly stated and paid for on the quote/invoice.

We don't offer night pack downs at venues near wildlife-sensitive areas.

You may take home all fresh flowers after the wedding.

Repurposing must be arranged at least 1 month prior.

14. Weather & Venue Limitations

If adverse weather makes outdoor setup unsafe, we will set up arrangements indoors or in a safer area until conditions improve.

We are not responsible for damage due to wind, heat, rain, guests or venue staff.

Venue limitations must be disclosed at least 1 month prior as last-minute restrictions may limit our ability to deliver your intended setup.

15. Additional Terms

Third-Party Disruptions:

We are not responsible for interference or damage caused by venues, photographers, guests, or other vendors.

Emergency & Last-Minute Changes:

Changes within 48 hours are subject to availability and may incur fees. Same-day additions are not possible.

Professional Conduct:

Disrespect, harassment, or discrimination toward our staff will result in immediate cancellation without refund.

Response Times:

Please allow up to 7 business days for a response during peak seasons (Jan-May, Oct-Dec). Holidays may cause additional delays.

Photography & Promotion:

By booking, you grant us the right to use professional photos of our floral work for marketing purposes unless otherwise stated. We do not share personal or family photos without permission.

Force Majeure:

In the event of a natural disaster, pandemic, or other unforeseen events, bookings may be rescheduled with no extra cost. Original pricing will be honoured.

Allergies:

Please notify us in writing of any allergies to flowers or greenery prior to your event. We are not liable for allergic reactions if not informed.

Environmental Responsibility:

Clients are encouraged to return floral foam, wire, or mechanics for recycling.

26. Acceptance of Terms

By making any payment, signing the booking form, or accepting a quote or invoice, you confirm agreement to these Terms & Conditions.
